Invoicing

Create and manage the invoices you send to your clients from Klani.

Creating an invoice

From Klani you can generate invoices for your clients directly, without needing an external tool. Invoices are linked to the client and, optionally, to the specific services you have provided.

Go to Invoices → New invoice and fill in the details:

General details

  • Client — select the client you are invoicing.
  • Invoice number — generated automatically in the format INV-YYYYMM-NNNN. You can edit it if you need to follow your own numbering.
  • Issue date — today's date by default.
  • Due date — must be after the issue date.
  • Currency — EUR, SEK, NOK, and others.
  • VAT — applicable percentage (21% by default). Calculated automatically on the subtotal.

Line items

Add at least one line item with a description, quantity, and unit price. You can link each line to a specific service in the platform to keep full traceability. Totals are recalculated automatically as you add or edit lines.

Additional information

  • Notes — free text that will appear on the invoice (conditions, thank-you messages, etc.).
  • Payment terms — for example "Payment within 30 days" or "Payment on delivery".
  • Payment method — bank transfer, card, cash, cheque, or online.
Invoice linked to services: You can associate each invoice line with the corresponding Klani service. This gives you a clear record of which services have already been invoiced.

Statuses and payment

Each invoice goes through different statuses throughout its lifecycle, from when you create it to when you receive payment.

Available statuses

  • Draft — the invoice is being edited and has not been sent to the client. You can modify it freely.
  • Sent — it has been delivered to the client and is awaiting payment.
  • Paid — payment has been recorded.
  • Overdue — the due date has passed without a payment being recorded. This status updates automatically.
  • Cancelled — the invoice has been voided.

Recording a payment

When you receive payment from a client, open the relevant invoice and click Mark as paid. Select the payment method (transfer, cash, card…) and, if available, the payment reference number. Klani will record the payment date automatically.

Once marked as paid, the invoice is locked and cannot be modified or deleted, ensuring the integrity of your financial records.

Overdue invoices

Klani automatically detects when a sent invoice passes its due date without being collected and marks it as Overdue. On the main dashboard you will see a notice showing the number of outstanding overdue invoices.

Invoice history

In the Invoices section of the menu you have a complete list of all issued invoices, with tools to find any of them quickly.

Search and filters

  • Search — by invoice number or client name.
  • Status — filter to see only drafts, sent, paid, overdue, or cancelled invoices.

The invoice number, issue date, and total amount columns are sortable: click the column header to sort ascending or descending.

Invoice detail

From the list, click View to open the full invoice detail: client data, line items with quantities and prices, subtotal, VAT, total, dates, and payment status.
